DIAGNOSIS The scan-to-email function requires correct SMTP server settings. Most failures are due to outdated security protocols or incorrect authentication for the provided email account.
FIX On the printer's control panel, go to 'Setup' > 'Scan Settings' > 'Scan to Email Setup'. Verify the 'SMTP Server' address and port. For Gmail, this is 'smtp.gmail.com' and port '587'. Ensure 'Authentication' is set to 'On' and the username/password are correct. The critical step: for modern email services, 'SSL' or 'TLS' encryption must be enabled. Select the appropriate option (TLS is standard for Gmail on port 587).
IF THAT DIDN'T WORK The email provider may require an 'App Password'. For Gmail, you cannot use your regular password if you have 2-Step Verification enabled. Generate a 16-digit app password in your Google Account security settings and use that in the printer's password field.
HEADS UP Many corporate or ISP email servers block authentication from external devices like printers as a security measure. For reliable scan-to-email, consider using the 'HP Smart' app to scan directly to your computer or cloud service instead.
